A customer directory becomes less useful as it grows unless the team can reduce it to the people relevant to the task at hand. Contacts starts with a small set of understandable segments instead of asking every workspace to build complex rules before it has useful data.
Why one long contact list stops working
Customer type separates Visitors, Leads, and Users. A visitor is still exploring anonymously, a lead has shown potential intent, and a user represents an established customer identity. The type is visible in every table row and each group has its own navigation view.
Activity adds a different lens. Active surfaces contacts seen during the recent 30-day window, while New focuses on identities created within the last 24 hours. These views answer different questions without changing or duplicating the underlying contact.
Customer type and activity as core segments
Search and tag filters narrow the current view further. That means an operator can start with Leads, search for a company email domain, or open a tag-based segment without maintaining parallel spreadsheets and manually reconciling them with the inbox.
Counts beside each navigation item make the shape of the audience visible before opening a segment. The page title and result count then confirm exactly which slice of the directory is on screen.
Combining views, search, and tags
The practical workflow is simple: use type for relationship stage, activity for timing, tags for team-specific meaning, and search for a precise lookup. Together they turn Contacts into a working queue rather than an archive.
Useful segments for daily work
For morning follow-up, open Leads, add the relevant campaign tag, and focus on recent activity. To review onboarding, select users created in the last day. For reactivation, begin with Users and narrow the list with a product or plan tag that matters to the team.
Do not create a tag for a property the system already segments. Active, New, Visitor, Lead, and User have shared definitions across the workspace. Keep tags for business context such as renewal risk, partner status, or a campaign so the directory does not accumulate parallel ways to say the same thing.
Frequently asked question
What is the difference between a segment and a tag?
A system segment is calculated from contact type or activity, such as Leads or New. A tag is created by the team for its own business context. They can work together: open Leads, then filter that view by a campaign tag.
